At International Brands Group (IBG), we are looking for an experienced, proactive and detail-oriented Order Specialist B2B Operations to strengthen our international operations team. In this full-time role, you will handle B2B customer orders, coordinate shipping and factory communication, and support operational projects for our global footwear brands.
What you will do
As Order Fulfilment Specialist, you manage the full order journey for our B2B customers—distributors, retailers and government agencies—across more than 100 countries. You are the bridge between customers, suppliers, logistics and our internal teams.
Key responsibilities:
Order Management & Customer Service
- Process orders in our system (Oracle NetSuite) and handle all related customer communication.
- Monitor and follow up on delivery timelines, production updates and payment status.
- Manage product complaints professionally and keep customer records up to date.
- Keep stakeholders informed and anticipate any changes in order status.
Supply Chain Coordination
- Place and track purchase orders with suppliers (mainly in Asia).
- Maintain daily contact with factories to ensure production and shipping deadlines are met.
- Share detailed instructions for packaging, product labels and export documentation.
- Work with our Logistics Coordinator to align shipments with customer needs.
International Shipping & Documentation
- Check all export documentation for accuracy and compliance.
- Share final shipment papers with customers and logistics partners (e.g. DHL).
- Ensure country- and customer-specific shipping rules are followed.
Projects & Admin Support
- Support internal projects related to logistics, data accuracy and product samples.
- Maintain data on labels, barcodes, sizes, colours, and images in our systems.
- Help streamline and improve operational processes.
Experience and education:
- 4–10 years in a similar international B2B role
- MBO 4 or equivalent thinking/working level
- Experience with ERP systems (preferably Oracle NetSuite)
- Fluent English (spoken and written); Dutch is a plus
- Comfortable with digital systems and MS Office
