INTERNATIONAL TRADE SUPPORT

In this key role, you will manage order flows, coordinate with factories, support international shipping, and contribute to operational projects across multiple brands and markets. Most importantly, you will serve as a reliable partner to our B2B customers—distributors, retailers, and government agencies—ensuring they receive the service, communication, and support they need at every step.

THE ROLE

These are exciting times for IBG as we continue to grow and add new brands. With phased rollouts through different channels, our back office is experiencing an increasing workload. To support our expanding business, we are looking for an experienced, energetic, and committed full-time colleague who will play a key role in the operational process, from order management to vendor management, the international shipping of goods, and operational projects. You are the first point of contact for our customers, which can be distributors, large retailers or government agencies.

MAIN FOCUS AREAS

Order management & customer service (B2B)
As the first point of contact for our customers, which can be distributors, large retailers or government agencies across the globe, you will ensure smooth order processing and effective communication throughout the entire order journey.

• Manage emails in the shared customer service mailbox.
• Accurately process customer orders within our operational IT system.
• Provide timely updates to customers regarding order status, production schedules, and shipment tracking; collaborate with the finance department on payments.
• Handle product complaints and maintain accurate customer records.
• Update order statuses and proactively communicate changes with customers

Supply chain coordination
Focus on optimising internal processes, production timelines, and vendor management to ensure smooth product flow.

• Place purchase orders with our suppliers (mainly Asian factories) and actively monitor their fulfillment status.
• Maintain regular communication with factories to track production progress and ensure timelines are met.
• Coordinate shipment schedules with factories to align with customer requirements.
• Accurately determine and communicate shipment weights and dimensions to support efficient logistics planning (done by our Logistics Coordinator).
• Ensure product labels (variable per country/ customer) meet specifications by communicating clear instructions and verifying compliance.
   

International import, export and shipping
Working with factories to ensure shipments meet customer expectations.

• Develop and maintain comprehensive shipping instructions for each customer and destination country.
• Review and approve draft shipment documents provided by factories, confirming accuracy and completeness.
• Ensure all export documentation complies with customer requirements.
• Prepare and dispatch final shipment documents through DHL or other designated carriers.
   

Projects and general administration
Beyond daily operations, this role includes contributing to ongoing business projects and administrative support.

• Assist in managing product data, including labels, barcodes, descriptions, sizes, colors, and images.
• Support internal initiatives such as sample product deliveries to customers.
• Participate in process improvements and customer related projects within the organisation.
   

QUALIFICATIONS

• Educational background at MBO level 4 or higher, or equivalent level of thinking and working
• 4 to 10 years of experience in an operational or logistics role, including order processing and customer service, with solid knowledge of international trade
• Excellent communication skills in English, both written and verbal; proficiency in Dutch is an advantage
• Proficient in using computer systems and comfortable navigating operational software
